Media, gallery and event operation with FotoboxShop24 Studio

STUDIO / HELP & PRACTICE Prepare a coherent guest experience and keep track of your image files. You need a selected test event, free storage and your own or approved media. Export and secondary backup require a suitable additional drive. To show the slideshow on another screen alongside guest operation, you need a second display. Before the event: Check media, guest permissions and output before your event. Videos require suitable Windows codecs; for countdown videos, also check the numbers and playback duration.

Medienbibliothek von FotoboxShop24 Studio mit auswählbaren Hintergrundbildern und Medienkategorien
Media library in FotoboxShop24 Studio: manage images, backgrounds and other media for your events.

1. Assign still images and videos to capture phases

  1. Open Animations and Standard animations & archive.
  2. Choose a file and assign it to the start screen or a capture phase. Find additional phases under Additional capture phases.
  3. Assign countdown videos specifically to During countdown, not before the countdown. Check the numbers and duration.
PNG/JPEG images remain still; GIFs and videos play. Imported media are copied locally into the archive and event. Remove a phase entry without deleting the archive. Because videos require Windows codecs, test them in preview and in the full sequence. If problems occur, a verified still image is a simple recovery option.

2. Use filters, greenscreen and cancellation deliberately

  1. Open Effects, enable permitted filters and, if needed, Guest chooses filter after capture.
  2. Check every offered look in the finished print layout.
  3. For coloured backgrounds, open Greenscreen, light the area evenly and check colour removal with a test photo.
Greenscreen ist Farbausblendung, keine KI-Freistellung. Kleidung in der Schlüsselfarbe kann ebenfalls verschwinden. Die Kameraoriginale bleiben erhalten. Mit aktiviertem Allow cancellation during capture is enabled, the top-left Cancel photo session ends the sequence after the current camera request completes. Saved images are not deleted; a new session does not start automatically.

3. Check guest gallery permissions and image folders

  1. Open Settings > Guest gallery or use the gallery switch and gear icon in unlocked live operation.
  2. Set visibility, position and desired guest permissions. Reprinting and deletion are initially disabled.
  3. Open under Gallery some results and check the event folder.
Originals contains camera files, Processed edited versions and Prints finished layouts. Guest permissions also apply to older images from the same event. Reprints respect additional print permissions, limits and a PIN if required. Deletion affects the selected local file, not automatically other versions or cloud copies; pending sending blocks deletion. Before enabling the gallery, inform guests who can see it.

4. Check USB export and secondary backup

  1. Select under Gallery > USB export the drive and Selected photo or Entire gallery. Check free storage and wait for completion.
  2. Spot-check an original and a print file by opening them at the destination. A complete handover should include at least Originals and Prints.
  3. Open Settings > General > Automatic secondary backup and enable a folder on a second drive.
Automatic photo backup copies originals and finished outputs to an additional selected drive. Edited photos can optionally be included. Missing backup copies are caught up when the configured destination drive reconnects. Deleting in Studio does not delete a backup. Consider secondary copies separately for retention and deletion. Photo backup does not replace a complete system backup.

5. Start the slideshow and test event operation

  1. Set Windows to extend the displays.
  2. On the left, open Slideshow; choose image source, order, duration and crossfade.
  3. Select Open slideshow, drag the window to the second display and use the full-screen icon or F11. Esc exits full screen.

Hand over image files in an organised way

Before every handover, check which images belong to the intended event and which versions the recipient needs. Open some exported files on the destination device. Also plan when to clear local images, cloud shares and additional backup copies – these storage locations are separate.

Archivierte Events kontrolliert bereinigen

Frequently asked questions

Does an imported video continue playing from the USB stick?

Studio creates local media copies. Check the sequence after import; the USB stick should not be the sole, unverified backup of your files.

Does a QR share expiring also delete my gallery?

No. Temporary cloud sharing is separate from local photos, exports and backups. You need your own process for retaining and deleting those.
